Re: [IUG] Rolling over YTD stats into LYTD field

I've mentioned that we got creative with the YTD data before, but it might bear repeating.

We manage to keep "buckets" of stats on circulation by using the YTDCIRC LYRCIRC fields but relabeling them.

[]

In this example, the TOT CHKOUT field = 41 which is the number of times item has circulated since we implemented in 1994
2005-2010 = 2 which is the number of times item has circulated since July 2005
2000-2005 = 21 which is the number of times item circulated between July 2000 and June 2005

When you subtract the combined total of the 2000-2005 and the 2005-2010 fields from the value in the TOT CHKOUT field, the remainder is the number of times the item circulated between Aug 1994 and June 2005 (18).

We took information from our former system and put it into the 945 fields, so above you can see that the item was checked out twice while on reserve (945|h), 54 times between 1971 & 1983 (945|f) and 44 times between 1984 & 1994 (945| j).

The 2005-2010 field was originally the LYRCIRC field which is dynamic. In 2000 we zero'd it out and allowed data to accumulate there until June 2005. In June 2005, we transferred the data from that field in the static PYRCIRC field which we then relabeled as 2000-2005. We changed the label of the LYRCIRC/2000-2005 field to 2005-2010 and are now collecting data into that field. In 2010, we plan to add the data from that field to the data in the PYRCIRC/ 2000-2005 field and relabel it as 2000-2010 so we can relabel the LYRCIRC/2005-2010 field as 2010-2015 (or 2010-2020).

Yes, we use Page #101386, too. Using Rapid Update, the path is >D >R >I
>yes to maintain YTDCIRC AND LYRCIRC >yes to zero the YTDCirc totals.
It is not necessary to use a review file. The rapid update can run on the
whole database. We have over 705,000 item records and it took 13 minutes.
We submit once a year on the last day of the fiscal year immediately after
System_Backup completes.
To prepare, I print a few item records beforehand. Then after YTD/LYR runs,
I check the same item records to see if the Year-to-Date Circ is zero and
Last Year Circ has increased.

Subject: [IUG] Rolling over YTD stats into LYTD field

Hi all,

I need to roll over the stats from the YTD field to the LYTD field and the
only information in the manual I can find is on page 107421. However, this
refers to multi PAC sites which we are not.

Can anyone give me some advice as to how I can roll over the stats so we can
use these fields to get an idea of item usage comparing this years stats to
last years?

Thanks for any help you can give.
Regards,
Emma
