RE: [IUG] Loading NetLibrary records

As a followup to my original posting on NetLibrary records, here's our
procedure.

When a new set of records is available for us, we get a piece of email
from OCLC with directions for retrieving our file. Those directions
are:

Go to the Internet (or click on the email address in the body of the
email)
Type in the URL: http://psw.oclc.org/psw/
Click on Records and reports
Click on OCLC WorldCat collection sets
Type in one of your institution's authorization and password pairs
Click on the file or record name (this name appears in the lower part of
the email)
Right-click the file of records you wish to download
If using Initernet Explorer, click Save Target As
If using Ne5tscape Navigator, a small menu will appear; click Save
Link As
(We use the first option. Generally I change the name of the file to
reflect source and month: e.g., Jan.NetLibrary.mrc)
Save the file.

Move to Millennium Cataloging
Click on Data exchange
In the dropdown menu, click on Load bibliography records (Batch)
Glick on Get PC (upper right hand corner of page)
Change to directory where the saved file is
Highlight the file in the list
Click upload
IN the rename file window, check that the file has a recognizable name.
Change the extension to .bfts
Once the file is in splace, highlight the filename with the .bfts
extension
Click the Prep button (upper right hand corner)
When the screen changes to show file detials, click the Start button at
the bottom of the page
A report lising the number of records in the file appears.
When the input/output summary appears, the report is complete.
Click the Close button (upper right hand corner)
A file will have been added to the list with the same name but a MARC
extenwsion.
Highlight the file name.
Click the Load button.
The load windows will display the number of blocks. You can either load
everything or a portion. (We load everything.)
Check the Use Review file box so that the loaded records will be saved
in a review file that can be edited.
Click the Load button at the bottom of the page.
A report will appear listing the number of records inserted or overlaid
along with a total count of the number of records and a summary
of the record numbers.
If the records load imporperly, an errlog will be created.
Click the Close button.
Delete the .bfts file.
Delete the .mrc file (errlog will disappear at the same time).

To see and edit records, Click Create List at the left hand side of the
screen.
Select an empty file.
Click on the Copy button at the top of the screen.
Browse the list of files until you find a file name starting with Load
and your file name.
Two files will exist -- one with isnerted records, one with the overlaid
records.
Highlight one of the files.
It'll copy to the empty file.
When a message appears asking if you want to empty the ofiringal file,
say yes.
Choose a new empty file to copy the second list, continue with
procedures for first file.

To edit records, click on the Global update button at the left of the
screen.
Select records.
Indicate that you are looking for bibliographic records.
Click on Review in the drop down menu to the left of the screen.
Click on search.Clickj on the Command input tab.
Select a field or data box.
Enter the changes in the 2nd line. (Don't check Use displayer field if
the fields displayed in the select records tab are not the fields
you plan to edit. If the Use displayed field is checked changes are
only applied to the display and, therefore, selected fields.
Indicate which fields you wish to delete, edit, or add. (You can do
multiple edits at one time. .However, if you're nervous about this,
just do one at a time until your comfort level is higher.)
Click on OK
Click on the Preview tab.
If everything looks ok, click on Process (right hand side of screen).
Select Yes or No.
The changes are made.
Return to your list of files, click on the file you've worked on, and
then click on Empty at the top of the screen.

Voila! The file is empty and your work is done.

We load Netlibrary records on a monthly basis. If you send me your
personal email address or a fax number, I would be more than happy to
send you directions on how to do this.

Using Millennium 2006LE.

We are getting ready to offer NetLibrary ebooks and downloadable
audiobooks and will load the corresponding MARC records in a batch from
the OCLC website. I've seen various references about NetLibrary ebooks
in the IUG archives and on CSDirect, but I'm not exactly clear, in this
"day and age", on whether I have to contact III or do anything special
to prepare. Perhaps I'm viewing this too simplistically (or blame it on
still being a newbie - how long can I get away with that? ;-)), but
since the records are now coming from OCLC, it would seem logical to use
our OCLC load table, controlling whatever we need to via a template and
global updating. Is this true, or is there something basic I'm missing?
