At GCPL we have 30 files out of 80 in Create Lists set aside for
use by the seven branches branches--23 5,000 item files and 7 10,000
item files. Out of the remaining 50 files, 13 are set aside to run
featured lists, and the remaining 37 are reserved for tech services,
automation, and administration; these files are all 10,000 items and
larger.
The 30 files reserved for staff are available first come first
served for use by the selectors and staff who do collection maintenance.
Staff are responsible for managing the lists they use, but they are not
assigned to any particular list within the range available.
Periodically some of us remind staff to empty their lists as soon as
they are done. Since we have a naming convention that shows when tech
services has updated the records on a list, if that action was requested
by the staff, every so often I will go through and empty lists that have
outlived their usefulness. While staff can overwrite other staff's
lists, we don't do that; rather, someone will post a plaintive request
via e-mail for people to review the lists that have occupied and empty
any they no longer need. We have not bought more files because so far,
we usually have enough empty files to do the job.

How do large Innovative libraries maintain a sufficient number and
variety of empty review files in Create Lists?


Is there one person assigned to monitor the files, or do you rely on
staff to self-police their own use?

Do you send out regular reminders to empty no longer useful files?

Does your library policy allow one staff member to overwrite another's
review file? If so, are there any conditions attached to that
permission (e.g., contact the other person first)?

Do you note which review file sizes are usually full or usually empty,
and adjust the review file size distribution accordingly?

When you consistently lack empty files, do you tend to buy more review
files or tend to increase the restrictions on using existing files?
How
tightly do you restrict the number of library staff authorized to use
Create Lists?

What is your largest review file size?
