Re: [IUG] match fields for authorities

We have deduped our authority file (cleaning also those inconsistent 001
fields, as Elisheva reports). Following that, in the past four months I have
batch-searched 325000 name/subject headings (using CONNEXION server)
against the LC name/subject files, and batch-loaded over 100,000 authority
records into our system. The 010 field works just fine for such overlay.

We don't use an external vendor, but it seems that using the system's
unique .a number for overlaying would be best in this scenario.

We use the 010 for our loads. We had originally used only the 001, but
found that the OCLC assigned number was not the same one that our vendor was
using. Since we bring over individual records from during cataloging we
needed to use the 010, which remains constant in OCLC, RLIN, etc. Since we
load hundreds of records each month, doing anything manually would be
impossible, but this seems to work fine.
Hope that helps.

Hi Dan,

We do not use an automatic overlay. We get a few more duplicate records
when folks forget to check first, but not many. If we wish to overlay an
authority record at the time of export from OCLC, we add a 949 field
i.e., 949 *ov-.a123456 using the .a number from the existing record.
Of course, you must make sure that the record is not in use by the system
or the overlay will not work. This works with our workflow.

A question for those who download authority records -

What field do you match on to determine whether the incoming authority
record should overlay or create a new authority record?

Thanks,
