Richard,
Are you on 2005 or later? In 2005LE, existence of Marc holdings makes
no difference in displaying the internal note(s) to the public.

I'm a couple days late responding to this, but I've been conferring with
our serials librarian and doing some testing.
Some of our checkins have MARC fields (e.g., holdings tags 853, 855,
863, 865), some have non-MARC notes and other fields, and some have
both. We don't care if it's possible to display the MARC fields in the
OPAC, but we definitely do not want the public to be able to see our
various non-MARC notes.
What I found matches what Sue Boggs reported on Wednesday. If there are
any MARC fields in the checkin, the MARC Display in the OPAC will show
only the MARC fields (plus the MARC Leader). If there are no MARC
fields present (except the Leader), then the MARC Display will show all
the non-MARC fields. Adding a MARC tag, even one with spaces instead of
a tag number, has the effect of suppressing the display of the non-MARC
fields.
So rather than changing any existing fields, our solution was to make
sure that every currently active checkin had at least one MARC field.
First I made a review file of Checkin records with:
Checkin Card Status = c
AND MARC Tag [space][space][space] = [nothing]
The second line isolated those checkins that had no MARC tags. I then
used Global Update to insert a MARC tag into these records. I don't
think it's possible for Global Update to insert a blank MARC tag, but I
thought this would have been a bad idea anyway. We inserted a
meaningful tag that we can easily identify and remove later if
Innovative fixes this problem. I used the somewhat arbitrary "983
Non-MARC field suppression", putting it in field group z (Internal
note). A patron clicking on MARC Display for a checkin record will now
see only this field and the MARC Leader, not the other non-MARC notes.

Interesting Pat. I tried that in ours using my previous example of
Journal
of Abnormal Child Psychology. When I changed the bind info note to MARC
(with no tag) I could still see the bind info note but the vendor note
and
Lib Has line disappeared and the MARC leader info showed up. When I
changed
all three to MARC all three notes showed plus the leader. Change all
back to
non-MARC and all fields show and the leader disappears.

I just tested this in our catalog and discovered some internal notes
were displaying and some were not. On further investigation the internal
notes coded as MARC fields displayed. Changing them to non-MARC removed
them from the display.

That's exactly what is happening in our system. I just double checked
it on our staging port, which is set to allow MARC display.
Notes in the check record display whether they are tagged as N (free
note
text) or Z (internal note).

Ann and Sue,
I am a little confused here. Check manual page: Page # 105760. In
check-in record structure: n is for free text note and z is for
internal note. Do you say that if you put the internal note in z field
in the check-in record, that note will show in public?

Hi Sue,
Actually, it was our understanding that what came with Release 2005 was
the display of notes from individual check BOXES. There is a new option
for Public vs. Staff note when checking in serials, which would seem to
fit that. We had no clue that all the notes from the check RECORD would
end up showing up to the public. Our check records aren't in MARC
format, either.
I submitted the enhancement request today to IUG. We'll see what
happens. In the meantime, since we have been using the system for 19
years and have tons of notes that are not meant for public eyes, we have
chosen to turn off MARC completely. And are not too happy about it.

Anne,
I didn't realize this either but now the wording of the enhancement in
Rel.
2005 makes sense:
"A new note field will be available in the checkin box, in addition to
the current note that displays in the Web OPAC, for internal notes that
are not for public display. [IUG ballot item]"
So I guess all along it has been that the note field displayed in the
Web OPAC. I certainly didn't realize it nor would I associate that with
MARC display since our check-in records are not MARC.
I guess we'll need to move all of those internal notes over to the new
note field.

Subject: [IUG] WebOPAC display of check notes
We are finalizing our site redesign (after 10 months, it's been longer
than having a baby!) and are still finding things that are either
completely new to us or not behaving quite as we expected.
This was a total surprise and made me very grumpy.
When we went to the OPAC and did a search for a serial, then selected
"Latest Received" to look at the display from the check card, there was
a new button for MARC display. When I selected it, I was appalled to see
all of the notes from our check record showing up at the top of the
screen, above the checkin detail.
The help desk says this cannot be turned off for card display only; I
have to turn off MARC display completely, which isn't what I want to do
either.
Apparently this is an improvement, although having them suddenly visible
to the public without any kind of clarity that clicking on a MARC button
would do that, especially after putting them in records for 19 years,
did not make my day.
You might want to check your systems to see if you like this option or
want to turn off MARC completely, if you have it. I plan to submit an
enhancement request.
Back to fine tuning,
Anne
