In this circumstance, I would put in a standing order record for the collection and put the payments in when made.
I would suppress the bib from public view.

Hi all,
I am hoping that someone out there has encountered something like this
before and can offer some help.
We have recently acquired a special collection of photography books.
It will be paid for incrementally over the next three years, in lump
sums. I am at a bit of a loss as to how to reflect these payments in
Millennium as each book is catalogued and added to the collection.
Any ideas???
