Jennifer,
Thanks. This does answer the question. Good to know what we'll be
facing in the near future.

Lisa,

The process to send the orders via EDIFACT is a bit different. When
you
click on send orders (in MilAcq), your next screen is similar to the
load
records via FTS screen where one needs to connect to an ftp site. This
was
something very new to our Acquisitions assistant. With detailed
instructions, it has been fine - there was just a learning curve.

Additionally, one of our vendors sends their acknowledgements via
email.
And this is the method preferred by our Acquisitions assistant.
However,
the other vendor we use puts the acknowledgements in a file in our FTP
directory on their FTP site. This means that the Acquisitions
assistant has
to use FTP software to connect to the site and manually move the
acknowledgement to her local computer. Also, she must delete the
acknowledgement files from the vendor's FTP site. She isn't really
familiar
with FTP as a process and still feels a bit uncomfortable with it. At
this
point, I continue to sit with her through the process so that she
feels
comfortable doing it. We are currently in the process of moving to
electronic invoicing with the Full Approval Plan Interface, so she is
going
to become much more familiar with FTP over the course of the immediate
future.

I hope that answers your question, but feel free to let me know if you
have
more.

Jennifer,
How did changing to EDIFACT ordering alter procedures for your
Acquisitions department?

Good morning,

At the MacPhaidin Library at Stonehill College, we migrated from BISAC
to
EDIFACT in early June 2005. It was a relatively painless process -
from my
perspective as the system administrator. Despite the change in early
June,
our Acquisitions Department did not actually use the system until
July.
As
such, we did not change ordering procedures in the middle of our
fiscal
year. However, because the change is in the way orders are
transmitted
to
vendors not in the way that any fiscal matters are handled, the change
should not cause any problems if done during the fiscal year (i.e.
should be
a non-issue).

The installation of the product by Innovative was a very quick and
easy
procedure. It took me a little over a week and a half to get
everything set
up with our vendors. When everything was set up on the vendor end, I
tested
the new ordering system with some out of print titles. We did not
encounter
any problems on the technical side of things. The bigger issue was
the
change in procedure for our Acquisitions department. But, we have now
been
ordering with EDIFACT since July 1st without any problems.

Subject: BISAC, EDIFACT and 13 digit ISBN's

Colleagues --

At CSDirect there is a fact-sheet
http://csdirect.iii.com/faq/isbn13.shtml about the upcoming change
on
1/1/07 to the ISBN from 10 digits to 13 digits, and the effect that
this
will have on III libraries. One of the fallouts is that the BISAC
interface will no longer work, as BISAC is not moving forward with the
13 digit ISBN.

Am I correct in understanding that as a BISAC library we have three
choices:
- not address the issue and most likely have to go back to mailing
paper
orders to vendors for new materials (probably the worst choice) after
1/1/07
- find the funds in this fiscal year to purchase the EDIFACT interface
that will support 13 digit ISBN's
-- or
- wait for FY07 and hope that we can get the purchase for EDIFACT in
next fiscal year's budget.

Are there other options? Is there yet another interface besides these
two?

Has anyone moved from BISAC to EDIFACT while using MilAcq? What was
your experience? Does it create problems if done mid-fiscal year? Or
is
the use of both interfaces in the same fiscal year a non-issue?

We appreciate any options and advice that you can give.

Thanks

Paul
