Hello Mandy --

When we migrated from our old Galaxy system, we did not migrate circ
transactions (as I am assuming you are not migrating circ transactions
also). For our situation, we felt that not bringing over the circ stuff
from the old system was a streamlined way to get online, it saved the
costs from both vendors converting the circ data, and saved us that
interim off-line period. But I think that this is an analysis that is
very specific to each site, and has soooo many variables to consider.

Having said that....

We actually set the status of our entire III database to a status of
"ASK AT DESK". The idea was that we would have staff search our old and
our new system whenever a patron really wanted to know the accurate circ
status. As a part of the process, we kept the old OPACs out for about a
month after we went online circ with III, until the materials that were
out on the old system were at least reaching overdue stage. The point
was that the old system was still more representative than III until
time had gone through one whole standard 4 week loan period.

Back at the circ desk -- Then as each item was checked out on III it
automatically had the status removed, and was given a due date that
replaced the "ASK..." status. When the item came back in on III it was
checked in, the due date was replaced with the "AVAILABLE" system
status, and from there forward the item was accurately represented on
III OPAC. Eventually we ran a report of the things long overdue on the
old Galaxy system, manually changed the status on III to "LONG OVERDUE
GAL". For those that still said "ASK AT DESK" we rapid update changed
the status to "AVAILABLE" assuming that it had been sitting on the shelf
all along (know what I mean?)

Again, this worked well for us, but I would not recommend to all
libraries that they not migrate circ info from the old system to the
new. But if your analysis shows that you do not want to migrate circ
info from the old system to the new, then our process above may be worth
considering. In retrospect, I think we did as well as we could have in
our situation, and using two different III status's at different phases
of the migration was a big part of our success.

Call me if you need a longer explanation - it is way too detailed to
write about. Today I am in the office until 4:30 eastern, except 12-2 on
the ol' reference desk, helping patrons with those OPAC searches.

Best wishes with it. The biggest tool you can have during a migration
is your sense of humor. With that - the rest falls into place....

Paul

Subject: Changing status- batch job

Dear all,

We have got about 13,000 items that are currently out on loan on our
current system. We go live with Millennium on Tuesday.

Is there a way that we can change the Status of all of these items to
'On Loan Geac' so that our Catalogue will reflect that not all of them
will be available?

TIA

Mandy
