This is one of those topics that comes up over and over, and it's great to have libraries share the processes that they use to handle deletions and get statistics.

But let's not lose the point that these are all essentially workarounds, and that the real solution would be for the system to automatically retain records of deletions (by any process) just like it records circ transactions. As with circ transactions, this should include all the codes from the items deleted. This would allow people to use Web Management Reports to get their statistics at any time, by location, format, etc.

The way we do it:
The folks out at the branches mark items for deletion by putting a '3'
in the ICODE2 field. Every other morning or so I run a search for items
with ICODE2 = 3, and when the search is complete, I sort the items by
branch location, and then print out each item's location ("List some of
the data..." -> Print field: Item Location). After checking over the
marked items to make sure that the branches have done it right, I delete
the items in the review file (and usually there are one or two that must
be dealt with before they are actually deleted because they are checked
out or on hold). Then I count all the items on the printout by branch
(leaving out any that I did not delete for whatever reason) and record
these for our monthly reports. In this way we get a count of how many
items each branch, which is eventually summarized monthly.

We could do this task once a month as some have mentioned, but we have
found that doing it more frequently makes it easier to find and deal
with any mistakes that the branches might make in marking the items for
deletion, especially since they have a different procedure for handling
last copies.

This is the only way we have found to capture this kind of
branch-specific information. If anyone has a different way we could
try, let me know.

If all you need is a count (not a copy of the records themselves), there
is a way to keep track of the number of deleted bib and item records
through the character based system. Under Management Information -> I ->
F
-> S. A running count of the number of deletions is kept for both bibs
-> and
items. If you know what number you are starting the year off with, then
you can calculate a year's worth of deletions. We do a weekly status
report which includes these figures, so it's easy to keep track of them.
