If you want to make this information accessible through the OPAC you could think about a local note in the bib record, either a 590 or a 599 depending upon what your cataloger thinks best. The 500 fields are keyword indexed and if you used the same syntax for all donations, e.g. "Presented in memory of . . ." or "Donated in honor of . . ." etc., you would be able to easily pull up the appropriate bib record by doing a keyword search for that phrase.
Of course, since you are in public library as am I, you may well have more than one copy of an item in more than one branch and thus need to know which copy is the donated copy. The easiest way is to make the bib note very complete, e.g "Presented in memory of so and so to the Brookfield branch." Or, you could also create an OPAC Message which would then indicate which copy was a gift copy. That field wouldn't help you identify who donated the copy or why, because the message field is fixed text, but you'd have that donor information already in the bib and the message field would then tag the donor copy and thus tell you which branch owned it. However, if you want to use the OPAC message field you'd need to consider how it will affect the appearance of your catalog display.

Thank you. We are leaning toward using the note field in the Item record,
but obstacles still exist.

Yes, it is searchable in Create Lists, but not in MilCirc or WebOPAC. What
do you do when a patron walks up to the desk and wants to know what book was
purchased in someone's memory? We notify the donor what is being purchased,
but we do get this question from time to time.

One library responded that they have a separate database linked to a search
option on their web site. We'd like to avoid that type of extensive project
(and duplicate work) if possible.

The note field in item records is indeed searchable, but (at least in Telnet
version) only by creating a list. This is how we are adding information
about gifts. In order to retrieve the proper items, we include "gift" as
the first word in the note.

Hope this helps.

Subject: Indexed Item Field Use

We are looking for a way to record information about donated items in a
"searchable" field in the item record. We can't seem to find a suitable
field to use, as the note field is not searchable. Is anyone doing this or
something similar?

Thank you,
Tyra
