Brenda,

We have a very effective and easy way to acccomplish deleting of items in a consortium. We use the STATUS field for this purpose. We code them with an "e" which means DISCARDED. The advantage in using the STATUS field is that you can call III and make codes in this field UNREQUESTABLE, an important consideration if you
do patron placed requests. Our users can easily take a truck of books and use Rapid Update to convert these to STATUS e.

Once a week I use CREATE LISTS and ask for all STATUS "e". I then use the global delete process that others have suggested. BY running the global delete on off hours saves system resources. By NOT having individual libraries involved in actually deleting these items also saves system resources.

This procedure has worked well for us for amny years.

Subject: Deleting/withdrawing items

Hello all:

ALIS is a consortium of 55 public libraries in Nassau County on Long
Island, NY.

We are planning to go live on March 22.

On our current DRA system, libraries do item withdrawals as follows:

All during a given month they mark items for withdrawal. At the end of
the month, central site runs a program that creates a report of all of
the items marked during the previous month. The same program actually
purges the items from the database.

We would like to continue doing something similar on Millennium.

How do all of you handle withdrawals? We were thinking that we could
set up an ICODE2 for withdrawn, but we need ICODE2 to suppress such
items from public display. If I set up an OPACMSG for withdrawn,
libraries would have to change OPACMSG AND ICODE2 to achieve what we
want - two steps, where one works now.

Help!

Brenda Giovanneillo
ALIS Consortium Director
