We are in the process of shelf-reading/inventory, having finished the
relocation of our collection last year. I can't say we will actually track
the collection on an on-going basis after we finish, but a lot of things
will get cleaned up in the meantime.
I used the Create Lists function to print out the entire shelf list for
monographs. Needless to say, I did not do that in one fell swoop, but over
the course of some months, as staff completed each section. Staff checked
off on the shelf list printout those items that were actually on the shelf
and wrote NOS for those items on the list but not on shelf. Any items staff
found on the shelf but not on the list were brought to me for correction.
We have finished the first pass, and I now have staff checking only those
items marked NOS before. If they are still NOS (a lot got corrected because
of typos, etc.) then I print out a record. There are basically three types:
REALLY NOS, in our bindery, or checked out, lost, missing, etc.
We feel that a great many items that are currently really NOS are lurking in
staff offices here at NYBG. At one time (just prior to my arrival, I think)
we had self check-out. It turns out that many staff did not realize there
was one more step to finalize the process, so they think they have material
checked out but our catalog does not indicate that. So we're about to send
the Marines ...
