I would definitely save them in one format or another. These reports give
you a fund-by-fund history of all the activity (encumbrances,
appropriations, adjustments, and expenditures) done in the system. What we
are doing at the University of Toledo is filing them by fund (a binder was a
more traditional means) and examining them if we have a question about the
money spent in an area or the titles that were purchased. While this can be
done to a degree with create lists (find everything paid this year from fund
"junk"), this is a clear cut way of doing that. Additionally, any
adjustments made through Adjust Fund Balances will show up in the fund
activity reports, but will not be searchable since they are not tied to any
records.
I think that it is a very useful accounting tool in looking at what is being
spent or committed in a fund. This is only one opinion of the use of these
funds, but I really like the ability for the fund activity report to
remember the details that make up the financial reports.

We are a large library system that has recently come up on Millennium Acq.
Because we order and invoice a large number of materials, we need to run the
fund activity report at least once a week.
My question is how long do users of Mill Acq. save these fund activity
reports? Any advise would be helpful.
