You hit the nail on the head. I could not find a great description of this in the manual, though page # 101623 covers the basics (this section is on copying review files, how you find the on search file).
Insofar as procedure is concerned, I use the same codes for missing and claims returned, but retrieve them periodically by using the Create Lists program. So there are two basic groups of records that are missing or claims returned. The first set shows up in the on search file and these are set through placing the hold on the available item or marking something as claims returned. However, in both cases, the patron really wants the item (either to use or to clear their record). The second set of items do not show up in the on search file and these are things that are being marked as missing as a matter of documentation. For example, a book called "Windows 3.1 for Dummies" might not have any interest, so this status change could simply be used to better reflect its shelf status.
Procedurally, you might copy the on search file and canvas the building for those titles on a more regular basis than items that are simply given the "m" or "z" status codes for missing and claims returned. Though they have the same codes, their inclusion in the on search file means that they should be prioritized in the retrieval process. The distinction I have made in the past between the two sets is from the Dixie Chicks song Goodbye Earl, "And it turns out he was a missing person, Who nobody missed at all." Alas, Earl and books on Windows 3.1 might possibly meet the same interest.

Hi.
Are we understanding this correctly?
To be included on the "On Search" list, an item must be marked missing or claimed returned via the Circulation/Holds Management functions.
Our tests indicated that if an item's status is changed to missing via other functions, it is not included on the On Search list.
Is that right?
If so, for items made missing via non-Holds functions, do you routinely use a different status code or add a specific note to enable retrieval of a list of these missing items?
We're trying to plug holes in our procedures. Thanks for your help!
