Here are some thoughts on the migration of order information. I think
that the best way to start is to clear your mind of Horizon & Expitech.
As Master Yoda would say, it is the dark side clouding your minds. Use
the force and I am sure your migration will go smoothly.
One thing that I would be very careful about with a load of order
records in the system migration is not to carry forward the possible
limitations in your old system to the Innovative one. The Acquisitions
module in Millennium is highly customizable, and sometimes with data
migrations, you do not take advantage of all the possibilities with the
codes and records because it is easy to migrate from your old ILS and
carry forward those funds. I could give a shamless plug for my piece in
Computers in Libraries this month on the traps that you can fall into
for doing that, but I shouldn't (well, I guess I just did). I would
look at the way that your data is currently in the system and think
about how you would like it to be. This is a great opportunity to
ponder this change as all the groundrules change.
First, check out the Users Manual Pages for the Page # 103173. From
this, we can get a bit of information:
P -- I am not sure what this is...do you have the correct letter?
V -- VEND NOTE (or Vendor Note). This is for a note to the Vendor that
would be includind in the PO sent to them (electronic or paper). It
might be OK to substitute Paperback, etc.
Q -- VEN. ADDR (or Vendor Address). Not every order record Needs a
Vendor Record. If you are ordering one book from the Jeremy Press in
Saline, MI, you can use a vendor code of "none" or "dir" for Direct (you
would have to add this). If you do not use a Vendor Code, this field
can be used to supply an address so the PO can be mailed. You can also
use this to change the address used for a particular order. The
inclusion of this field in a record will cause this address to print
over the one on file.
Z -- INT NOTE (or Internal Note). This is primarily used in Millennium
when a claim has been made & can be repeated. This can also be used a
free text in conjunction with the fixed field RACTION (Receiving
Action). You might have a RACTION that simply is NOTIFY. Thie INT NOTE
field might say "Corey Seeman, Professor of History, x2333" to let you
know who to NOTIFY.
As for the ORDER3 Worksheet, I believe that is for the Order Record Load
Table from your bibliographic utility or vendor. It will probably also
be used during the migration. It takes the data in the 960 MARC field
and maps it the order record fixed fields. The data in the 961 is
mapped to the variable length fields. Here, I would defer to the wishes
of your Implementation Consultant because they are going to be able to
figure out what you can get out of your current "rig" and where to map
it. I can't see your table, but if you have specific questions, I'd be
happy to help.

I hope I haven't insulted anybody, and I definitely do not mean to
compare myself with the almighty, but I have been getting more and more
frustrated going through the "Getting started manual", especially
portions devoted to preparation for dataload.
Presently I'm driving an epixtech Horizon rig and am fairly familiar
with the organization of the tables containing my data. I had hoped to
map data from my present data structures to their new homes under the
iii model, and maybe print out some samples in formats specified by iii.
After some successes with bib and item data (at least in the plotting),
I got stuck in the order and checkin tables.
**In checkin I have trouble finding some of the "field group tag"
meanings--in particular p,v,q and z.
It does not appear to be in the table mating the variable name to a
meaning (for variable length fields
only, fixed fields having more descriptive fieldnames)
**In the ORDER3 table everything has a descriptive style fieldname, but
the variable names were so
cryptic that I couldn't make sense of them.
Can anyone offer some practical advice?
