We've tried to consolidate information for our electronic resources using
Innopac. For subscription management we defined a local field (973) in
the bibliographic record with several subfields:
|a Database provider
|b Consortium
|c Gateway
|d Free access with print
|e Free (not tied to print)
|f Purchase order number
|g Expiration (for NetLibrary books with limited time access)
For example, the following 973 field - |aIdeal |bBCR |cLANL |f3246048
indicates a title from Academic Press's IDEAL that we purchase through BCR
and access via the Los Alamos National Laboratory's server. The purchase
order number that you see is for IDEAL. Using Create Lists we can quickly
create a file of all titles we get through a particular consortium, or all
titles we access through ECO, etc.
Regarding access, we have almost finished adding several thousand
electronic journal records to our OPAC. Our plan is to generate a comma
delimited file that we'll be able to use to create an HTML file, which
will provide title access via our Web page.
We're also adding a local subject heading to each electronic journal. An
example is - 690 Electronic journals|xMathematics. We'll use these to
replace the subject lists we now have on our Web Page. This is done by
embedding a subject heading search in a URL (e.g.,
http://catalog.library.unr.edu/search/dmathematics+electronic+journal). This
pulls up a browsable list of all electronic journals in math. It has
the advantage of being dynamic, and as soon as a new title is added, it is
available via this predefined search.
I hope this addresses some of the issues you mentioned. A big problem for
us (still not completely resolved) is letting our users know the
restrictions that apply to them, and informing our Document Delivery staff
of ILL restrictions.

have a couple of checklists I developed which help to keep track of some
of the steps involved in ordering, licensing, technical issues, and
access.
