We have been copying the bib record call number (090, 092, etc. ) into the item record for the last couple of years. This was started as a way to preserve the call numbers should the information in the bib record be overwritten. Prior to that we would have an indexed call number in the item record only if the call number was different from what was in the bib record. Now the majority are duplicates of each other. Both are being indexed in the call number index.

Since both the bib and item call numbers are indexed this is causing some issues with duplicate call numbers showing up in the catalogue, on inventory lists, call number statistics. We aren’t sure if we should continue this practice or if there is another way of preserving the information. We are wondering what other libraries are doing and if there’s any advice you could share?

Hi Laura,

We used to copy the bib record call number into a 999 field in the bib record. The 999 is not indexed and, therefore, not searchable and does not display in the WebOpac. We don't do this anymore but I still run across some of the 999 fields left over from when we had that policy.

We only add a call number to the item record if it is different from the bib record.

Hi Laura,
I believe you can leave the call number in the bib record but change the field group tag to address the duplicate indexing.
We primarily store call numbers in bib records and only add it to the item if it differs (e.g., two copies of the same title with two different call numbers). However, I wish we stored it in the item record consistently. Classification is work/expression level, but call number is really item level data and so it should (in my mind) live in the item record. This would make exporting data cleaner as well.
